What small business accounting software costs in Canada in 2026

A Canadian small business pays from CAD 0 for Wave Starter or Zoho Books Free to CAD 1,320 a year for QuickBooks Online Plus with inventory, at list prices seen on 30 September 2026. Skyline Nexus ERP Solo, a full ERP with inventory for one user, costs CAD 25 a month, or CAD 12.50 for the first three months under the launch offer until 31 January 2027.

Between those points sit a dozen plans at CAD 20 to 110 a month. No single product is cheapest for everyone: the right one depends on whether you hold stock, how many people log in and whether you need payroll inside the software. Prices were read on each vendor's Canadian pricing page on 30 September 2026 and exclude GST/HST unless stated. They change often, so confirm the current figure on the vendor's page before you subscribe.

What do you actually need? Four tiers, priced in CAD

Choose the tier you need now plus the one you expect within a year. Yearly figures are twelve times the monthly list price.

  • Invoicing only: quotes, invoices and payment tracking for a freelancer whose accountant keeps the books. CAD 0 on Wave Starter or Zoho Books Free; CAD 240 a year for QuickBooks Online Lite (one user, no accountant access) and CAD 312 for FreshBooks Lite (invoices to 5 clients).
  • Bookkeeping: ledger, GST/HST figures and bank reconciliation. CAD 240 for Zoho Books Standard (3 users), CAD 276 for Sage Accounting Start, CAD 300 for Xero Starter or Wave Pro, CAD 360 for QuickBooks Online EasyStart.
  • Accounting with inventory, which every business reselling goods needs: CAD 420 for Zoho Books Professional, CAD 540 for Kashoo, CAD 864 for Sage Accounting Plus and CAD 1,320 for QuickBooks Online Plus.
  • Full ERP: sales, purchasing, stock, POS, accounting and CRM in one database. Microsoft Dynamics 365 Business Central Essentials costs CAD 108.50 per user a month, billed yearly, CAD 1,302 a year for one user before partner implementation.

GST/HST as of September 2026: registration, rates and records

According to the Canada Revenue Agency, you are a small supplier and need not register for GST/HST while your taxable supplies stay at or under CAD 30,000 over four consecutive calendar quarters. Exceed CAD 30,000 in a single quarter or over four consecutive quarters and you must register. You may register voluntarily, and self-employed taxi and commercial ride-sharing drivers must register whatever their size.

Input tax credits are claimed by GST/HST registrants, so an unregistered small supplier carries the GST/HST on its software subscription as a real cost. The CRA also requires records to be kept for six years from the end of the last tax year they relate to, so pick software that lets you export your data. The rate you charge depends on where the supply is made. As of September 2026 the CRA lists:

  • 5% GST in Alberta, British Columbia, Manitoba, Saskatchewan, Quebec, the Northwest Territories, Nunavut and Yukon.
  • 13% HST in Ontario.
  • 14% HST in Nova Scotia since 1 April 2025, down from 15%.
  • 15% HST in New Brunswick, Newfoundland and Labrador, and Prince Edward Island.
  • Quebec also charges the QST, administered by Revenu Québec, and British Columbia, Manitoba and Saskatchewan their own provincial sales tax, so your software must handle two taxes on one invoice.

Price comparison: Canadian plans as of 30 September 2026

Each line gives the monthly list price in CAD, twelve months at that price, and what the vendor's page says is and is not included, seen on 30 September 2026.

  • QuickBooks Online: Lite CAD 20 (CAD 240 a year), EasyStart CAD 30 (CAD 360; CAD 324 on annual billing), Plus CAD 110 (CAD 1,320; CAD 1,188 annual). Inventory starts at Plus, which includes 5 users; payroll is an add-on.
  • Xero: Starter CAD 25 (CAD 300) with 20 invoices and 5 bills a month; Premium CAD 80 (CAD 960), the first plan with multi-currency. The pricing page does not say which plans include inventory.
  • Wave: Starter CAD 0; Pro CAD 25 a month or CAD 250 a year, the same list prices as Skyline Nexus ERP Solo's CAD 25 monthly and CAD 250 annual. Wave's pricing page does not list inventory.
  • FreshBooks: Lite CAD 26 (CAD 312) with invoices to 5 clients, on promotion at CAD 1 a month for the first year; Plus CAD 42 (CAD 504) with 50 clients. Team members cost CAD 13 a month each.
  • Sage Accounting: Start CAD 23 (CAD 276), one user, no inventory; Plus CAD 72 (CAD 864) with inventory, multi-currency and unlimited users.
  • Zoho Books: Free while revenue stays under CAD 50,000 per financial year; Standard CAD 20 (CAD 240; CAD 15 a month on annual billing); Professional CAD 35 (CAD 420; CAD 30 annual) with inventory and 5 users.
  • Kashoo: one plan at CAD 45 a month (CAD 540; CAD 486 on annual billing) with unlimited users, inventory tracking and a Square integration.
  • Microsoft Dynamics 365 Business Central Essentials: CAD 108.50 per user a month, yearly billing only. Odoo Standard is reported by oec.sh at CAD 55 per user a month (CAD 44 annual); we could not read it live.

The first 12 paid months: Solo against plans with inventory

For Skyline Nexus ERP Solo, the first 12 paid months after the free month, on monthly billing with the launch offer, cost 3 x CAD 12.50 plus 9 x CAD 25 = CAD 262.50; at list price, CAD 300. The annual option is CAD 250 and, under the launch offer until 31 January 2027, covers 15 months, about CAD 16.67 a month.

Scope differs: QuickBooks Online Plus and Zoho Books Professional include five users, Sage Accounting Plus and Kashoo unlimited users. Read these figures as the cost for one user who needs inventory.

  • QuickBooks Online Plus: CAD 1,320 at list, CAD 1,057.50 more than Solo. With 90% off the first six months, year one is 6 x CAD 11 plus 6 x CAD 110 = CAD 726, still CAD 463.50 more, and year two returns to CAD 1,320.
  • Sage Accounting Plus: CAD 864 at list. With 75% off the first six months, 6 x CAD 18 plus 6 x CAD 72 = CAD 540, CAD 277.50 more than Solo; the same page also describes a one-month-free offer instead.
  • Kashoo: 12 x CAD 45 = CAD 540, CAD 277.50 more than Solo, or CAD 486 on annual billing.
  • Zoho Books Professional: 12 x CAD 35 = CAD 420, CAD 157.50 more than Solo, or CAD 360 on annual billing against Solo's CAD 250 annual.

Is Wave accounting really free? Free options in Canada

Wave Starter is free in Canada for invoices, estimates and bills, with no monthly fee on its pricing page as of 30 September 2026. Wave earns money around it: card payments carry processing fees, receipt capture is a paid add-on on Starter, and payroll is extra.

Zoho Books Free covers one user plus an accountant while revenue stays under CAD 50,000 per financial year, without inventory. FreshBooks Lite is not free but costs CAD 1 a month in the first year on its current promotion, then CAD 26: CAD 12 in year one, CAD 312 in year two. QuickBooks Online Lite is 90% off for six months: 6 x CAD 2 plus 6 x CAD 20 = CAD 132 in year one.

Free plans suit a service business under CAD 50,000 in revenue with no stock and one person doing the books. They stop fitting when you need inventory, a second user or payroll.

QuickBooks alternative in Canada: where the bill grows

QuickBooks Online is where many Canadian owners start, and its headline prices are promotions. EasyStart is CAD 30 a month at list; with 90% off the first six months, year one costs 6 x CAD 3 plus 6 x CAD 30 = CAD 198, and year two CAD 360, or CAD 324 on annual billing. Inventory needs Plus at CAD 110 a month.

Payroll Core adds CAD 30 a month plus CAD 5 per employee, so one employee adds CAD 35 a month, CAD 420 a year. More users mean a higher plan: EasyStart has one user plus an accountant, Plus five.

An alternative makes sense when you need inventory but not five users (Zoho Books Professional, Kashoo or Skyline Nexus ERP Solo), several users at one flat price (Kashoo, Sage Accounting Plus), or mainly invoicing (Wave Starter, Zoho Books Free). If you run payroll yourself, price the payroll option with the plan.

Hidden costs to check before you subscribe

The monthly figure on a pricing card is rarely the year's bill. Check:

  • Promotion cliffs: QuickBooks (90% off six months), Sage (75% off six months), Xero (80% off three months) and FreshBooks Lite (CAD 1 for a year) all return to list price, so budget for year two.
  • Caps: Xero Starter allows 20 invoices and 5 bills a month; FreshBooks Lite invoices up to 5 clients and Plus 50.
  • Users: FreshBooks team members cost CAD 13 a month each, QuickBooks adds users only on higher plans, and Business Central charges per user.
  • Payroll: QuickBooks Payroll Core is CAD 30 plus CAD 5 per employee; FreshBooks Canada refers payroll to PaymentEvolution through a consultant, with no published price.
  • Tax on the subscription: prices are shown before GST/HST, and an unregistered small supplier cannot claim it back.
  • Annual-only billing: Business Central Essentials is priced per user and paid yearly, with partner implementation on top.

When a free or cheaper tool is the better choice

A full ERP pays off for one person who buys and sells goods and wants stock, sales and the ledger in one system. In other cases, a different plan fits better, as of 30 September 2026:

  • Service business under CAD 50,000 revenue, one person: Zoho Books Free or Wave Starter.
  • Invoicing only, a few clients, first year: FreshBooks Lite at CAD 1 a month on its promotion, if 5 clients is enough.
  • Bookkeeping without stock: Zoho Books Standard at CAD 20 (CAD 15 on annual billing), or Xero Starter, whose promotional year one is 3 x CAD 5 plus 9 x CAD 25 = CAD 240, less than Solo's CAD 262.50.
  • Payroll run inside the software today: QuickBooks Online with Payroll Core.
  • Several users at one flat price: Kashoo at CAD 45 a month with unlimited users.

Skyline Nexus ERP Solo is a full ERP for one user and one branch, with the Core plan's modules: general ledger with automatic posting from sales, purchases, payments and depreciation, invoices with credit and debit notes, inventory per location with FIFO costing, POS with cash registers, bank reconciliation by CSV or XLSX statement import, CRM, tax rates and tax groups for GST, HST and QST, tax reports with a prefilled return form, and financial statements. It is a cloud service with an audit trail, roles, an in-app AI help assistant, and interface translations that include Canadian French.

CAD 25 a month, excluding GST/HST. Every plan starts with a free first month: 30 days, all modules, your own data, no card. The launch offer, valid until 31 January 2027, gives CAD 12.50 a month for the first three months on monthly billing (CAD 262.50 for the first 12 paid months), or an annual plan at CAD 250 that covers 15 months.
