Common questions

How are returns and exchanges handled, including across branches?

A return is a document, not an edit: it puts the goods back into stock and raises a credit note that carries the rate that applied on the original invoice, so a refund against an old sale does not restate this year's tax. An exchange is the return and the new sale together, and because stock is held per branch on a shared catalogue, the returned goods go back into the stock of the branch that made the original sale.

What does the system do about stock that goes missing?

Every movement — sale, return, transfer, wastage — is recorded with the branch, the user and the time, and a stock count produces a variance per item against the recorded quantity. Shrinkage then belongs to a period, a branch and a product line, instead of appearing as one unexplained number at year end.

Can we tell which branches and which products actually make money?

Sales, purchases, stock movements and payroll post to one ledger as they happen, with branches, projects and cost centres carried as dimensions rather than as extra accounts. Margin by branch and by product line therefore comes out of the same numbers as the trial balance, so the two cannot tell different stories.

Do we need a separate system for loyalty and repeat customers?

No. Customer history, recency-frequency-value scoring, lifetime value and WhatsApp or SMS campaigns run on the same database as the sales themselves, so a campaign is aimed at what people actually bought rather than at an overnight copy of it. Receipts can be delivered to the customer by WhatsApp or SMS from the same record.

Can shops and restaurants run on the same system?

Yes, and both are covered by this page. Kitchen and customer-facing displays, weighing scales and barcode scanners are supported at the counter, while variants, units of measure, batches and expiry live on the product record — so a restaurant, a grocer and a fashion chain can run on one catalogue without one distorting the others.
