Preventive work that actually happens

Maintenance schedules generate work orders on time, meter or condition, assign them to teams with the parts and checklists attached, and escalate when they slip. The measure of a CMMS is not that it can record a work order but that planned work stops being crowded out by breakdowns.

Failure codes, downtime and mean time between failures accumulate per asset, so the case for replacing a machine is made from your own history rather than from a supplier brochure.

Spare parts without a second inventory

Spares live in the same inventory as everything else, so a part consumed on a work order leaves stock, hits the job cost and posts to the ledger in one movement. Reorder points and supplier lead times sit with the part.

This is where separate maintenance systems leak money: parts issued in one system and stock counted in another disagree quietly, and the difference is only found at year end.

Contractors, permits and compliance

External contractors, service contracts and warranty terms are tracked against the asset, with permits to work and safety checklists enforced before a job can be closed.

For regulated sites the evidence matters as much as the work: inspections, certificates and their expiry are recorded against the asset and reportable on demand.

Common questions

How does the CMMS schedule preventive maintenance?

Schedules generate work orders on time, meter or condition, assign them to teams with the parts and checklists attached, and escalate when they slip. The measure of a CMMS is not that it can record a work order but that planned work stops being crowded out by breakdowns.

Do spare parts need a separate inventory?

No. Spares live in the same inventory as everything else, so a part consumed on a work order leaves stock, hits the job cost and posts to the ledger in one movement. Parts issued in one system while stock is counted in another is where separate maintenance systems quietly leak money.

What reliability history does it build?

Failure codes, downtime and mean time between failures accumulate per asset. The case for replacing a machine is then made from your own history rather than from a supplier brochure.

Can permits to work be enforced before a job closes?

Yes. Permits to work and safety checklists are enforced before a job can be closed, and external contractors, service contracts and warranty terms are tracked against the asset they relate to.

How is compliance evidence kept for regulated sites?

For regulated sites the evidence matters as much as the work. Inspections, certificates and their expiry dates are recorded against the asset and reportable on demand, rather than gathered in a hurry when an inspector asks.
